The Challenge

This private two-day hybrid conference covered wealth and health management for an invited audience. The brief required a seamless experience for in-room attendees while simultaneously streaming all sessions to remote delegates via Zoom — with no compromises on either side.

Our Approach

We deployed a full sound system with four wireless microphones — two headsets, one lapel and one handheld — giving the presenting team complete flexibility across keynotes, panel discussions and workshops. Three cameras covered the room: a crowd wide, a stage wide and a tight follow on the active presenter. A custom graphics package was built for the event, with branded lower thirds and animated transitions used throughout both days. All switching and streaming was run from our broadcast van parked on-site, keeping the production footprint inside the venue clean.

The Outcome

Two confidence monitors were positioned for the presenters, showing the PowerPoint master slide, a preview feed, a live speaker timer and real-time reminder messages from our production team. In-room audiences watched on two projectors fed from the same vision output as the Zoom stream. Live Q&A sessions were facilitated both in the room and via Zoom — remote attendees could submit questions directly into the session alongside in-room participants.
