It's not bad luck — it's what happens when event connectivity is treated as an afterthought. Why festival and show internet is different — and why venue WiFi fails

Most venues have a WiFi network designed for their own staff, maybe a few office computers and a security camera or two. The moment a festival or market moves in — fifty vendors, a ticket office, scanning stations at three gates, a production desk and two thousand attendees — that network is overwhelmed within the first hour.

Event internet has a fundamentally different profile to office internet:

  • Multiple simultaneous revenue-critical uses (EFTPOS, ticket sales, scanning) that cannot buffer or retry
  • Unpredictable traffic spikes — gates open, queues form, every phone in range connects at once
  • Outdoor and semi-rural locations that have no fixed infrastructure at all
  • Hard start times — if it's not working at gates-open, you can't call a pause

The solution isn't faster venue WiFi. It's a dedicated managed network built for the event, with separate SSIDs for EFTPOS, staff and public access — each with Quality of Service (QoS) rules that guarantee the revenue-critical traffic gets bandwidth regardless of how busy the public network becomes.

EFTPOS for vendors — the one use case that can never fail

Cash is becoming the exception, not the rule. For market and festival vendors, EFTPOS is revenue — a dropped connection during peak trading costs real money and damages your relationship with the stallholders you're trying to attract back next year.

We treat EFTPOS as a separate, protected network. In practice that means:

  • A dedicated SSID or VLAN for EFTPOS terminals only — your vendors' payment devices connect here, not to the same network the public is hammering
  • QoS rules that give EFTPOS traffic absolute priority — even at peak load, payment traffic goes first
  • Bonded 4G/5G failover running in parallel with the Starlink primary — if one connection drops, the other picks up automatically with no manual intervention
  • Coverage mapped to the vendor footprint — access points positioned so every stall has reliable signal, not just the ones near the stage

Ticket sales — on-site box office and hybrid systems

Selling tickets at the gate is still common for local shows, markets and regional events — and it puts a surprising amount of pressure on a single internet connection. A box office computer needs to:

  • Process card payments (EFTPOS again — see above)
  • Validate pre-purchased ticket codes in real time against the ticketing platform database
  • Print or email receipts
  • Update remaining capacity so online sales don't oversell the venue

All of that happens simultaneously, every time someone walks up. On a busy gates-open rush it can be dozens of transactions a minute. We build box office connectivity into the network plan from the start — a wired or dedicated wireless drop at each ticket point, segregated from public traffic, with enough upstream bandwidth to keep transactions snappy.

Ticket scanning at the gates

QR-code and barcode scanning at entry is now standard — phones, handheld scanners, or dedicated scanning tablets connected to a central validation system. Each scan typically hits the ticketing platform's API to mark the ticket as used and prevent re-entry. At a busy gate, that's a constant stream of small API calls that need a reliable internet connection.

The two things that kill gate scanning:

  1. Poor signal at the perimeter — entry gates are often at the edge of the site, furthest from any existing infrastructure. We plan access point placement to cover entries specifically, not just the main event area.
  2. Shared bandwidth with the public — when gates open and attendees connect their phones to whatever WiFi is available, scanning competes for the same connection. Isolated scanning networks prevent this entirely.

We can handle single-entry events through to multi-gate festivals with separate scanning teams at each entry. If you're bringing your own scanning hardware, we just need to know your network requirements; if you need hardware as well, we can advise on what works with your ticketing platform.

Staff communications and site coordination

Running an event without reliable staff comms is exhausting. Traditional UHF radios work for short-range voice, but modern event coordination increasingly depends on:

  • Messaging apps (Teams, Slack, WhatsApp) for sharing photos of incidents, vendor issues, or logistics updates
  • Digital run sheets and schedules that need to sync across the production team
  • Live monitoring dashboards — power, security cameras, crowd counts
  • Direct contact with suppliers, emergency services, and venue management
  • CCTV and access control systems that run over IP

A managed staff SSID — separate from vendor EFTPOS and public WiFi — gives your team consistent, reliable connectivity across the site without competing with 2,000 attendee phones. We position access points for site coverage based on where your team actually works, not just where the crowds go.

Temporary vs permanent installation — what's right for your event

Temporary installation is the standard for one-off festivals, travelling shows, pop-up markets, and events at venues without any existing infrastructure. We arrive ahead of time, deploy Starlink and 4G/5G modems, run cabling to access point locations, configure the network and test every SSID before anyone arrives. At the end of the event, everything is packed down and taken away.

Temporary installs suit: - One-day or weekend events at parks, showgrounds, or private properties - Events at regional or rural venues with no fixed internet - Touring events that visit different sites each time - Any event where the connectivity requirement doesn't justify a permanent investment

Permanent installation is the right move for venues that run recurring events — weekly markets, monthly shows, annual festivals at a fixed venue, or showgrounds that host multiple promoters across the year. A permanently installed network means the infrastructure is there every time, no setup time before each event, and it can include:

  • Structured Cat6/fibre cabling to fixed access point locations
  • Permanently mounted enterprise access points (weatherproofed for outdoor venues)
  • A managed network with remotely configurable SSIDs — turned on for event days, configured per event if needed
  • An ongoing managed service so the hardware stays updated and monitored

For showground operators and recurring market organisers, a permanent installation pays for itself quickly relative to the cost of deploying temporary infrastructure for every event.

How we build it — Starlink, bonded 4G/5G, and managed WiFi

Our standard event internet stack:

Primary connection — Starlink High Performance: Low latency satellite internet with enough capacity for large-scale events. Works at any outdoor location in Australia with a clear sky view — no fixed-line required.

Failover — bonded 4G/5G: Two or more mobile SIM connections (Telstra + Optus for maximum coverage redundancy) bonded alongside Starlink. If the primary connection drops or degrades, traffic shifts to mobile automatically. EFTPOS never sees the interruption.

Distribution — enterprise managed WiFi access points: Commercial-grade APs from Ubiquiti, Cisco or similar — not consumer routers. Each AP is managed centrally, coverage is planned to the site map, and we can monitor signal strength and client counts in real time.

Network segmentation: Multiple SSIDs, each with its own VLAN and QoS rules: - EFTPOS / payment network — highest priority, isolated from public traffic - Staff / production network — second priority, access to management tools - Ticket scanning — isolated, low-latency, consistent - Public / attendee WiFi — if required, bandwidth-limited so it can't starve other networks

On-site support: For larger events we can have a technician on site during the event to monitor the network, resolve issues and add coverage if needed.

Planning your festival or market internet — what to tell us

To quote your event accurately, the most useful information is:

  1. Event type and size — how many vendors, roughly how many attendees, number of entry gates
  2. Location — the address or site name, and whether there's any existing fixed internet at the venue
  3. Event date and duration — how many days, and whether setup time before the event is available for network deployment
  4. What connectivity you need — EFTPOS only, plus ticket scanning, plus staff WiFi, public WiFi — or all of the above
  5. Your ticketing and payment platforms — some platforms have specific connectivity requirements we should know about

Frequently asked questions

Can you guarantee EFTPOS won't drop out at our festival?+
We design the network so that EFTPOS traffic is isolated and prioritised above everything else, with a bonded 4G/5G failover running alongside the Starlink primary at all times. If any single connection fails, payments switch to the backup automatically. We can't promise internet never has issues, but we can promise that EFTPOS is last in line to be affected — not first.
How many EFTPOS terminals and vendors can you support?+
EFTPOS transactions are low-bandwidth individually — the limit is usually signal coverage and DHCP capacity rather than raw throughput. We've supported 200+ stall markets and large regional festivals. Tell us your vendor count and site footprint and we'll design the AP coverage plan to match.
What's the difference between a temporary and permanent installation?+
Temporary: we deploy before your event, configure everything, pack it up at the end, and take it all with us. Permanent: we install structured cabling and access points that stay in place, so the network is ready for every event at that venue with no setup time. Permanent makes sense for recurring venues — weekly markets, showgrounds, regular festival sites — where the setup cost of temporary starts adding up.
Can you handle ticket scanning at multiple entry gates?+
Yes. We plan access point placement to cover entry points specifically and build a dedicated scanning network isolated from public WiFi. We can support single-entry through to multi-gate events with separate scanning teams. Bring your own scanning hardware or ask us what works with your ticketing platform.
Do you need fixed power on-site, or can you bring your own?+
For most events a standard 240V power point near each access point location is sufficient. For fully off-grid sites we can run the network equipment from a generator or battery system — we work alongside power distribution setups regularly. Let us know the power situation at your venue and we'll plan around it.
How far in advance do we need to book event internet?+
For smaller events, a week or two is usually workable. For large festivals, permanent installations, or events at unusual locations that need a site visit first, four to six weeks gives us time to plan properly and order any site-specific hardware. Peak event season (October through April) books out faster — the earlier the better.
